We at the Vancouver Playhouse Theatre Company place the utmost importance on our relationship with you, our patrons and supporters, and so have undertaken a comprehensive programme to ensure that we are complying not only with privacy legislation, but also with the needs and concerns of the individuals who form the backbone of our business.

The Information We Collect
In our previous contacts with you, we have collected personal details necessary to the completion of our business transactions. These details may include, but are not limited to, your name, contact information, ticketing and donor history, seating preferences, and credit card information. In some cases, if you have developed a closer relationship with the Playhouse, we may have recorded details about your personal interests and life that help us anticipate your needs. This information is primarily gathered when you purchase tickets or provide us with financial or volunteer support.

What We Use It For
The information we collect is vital to maintaining the level of customer service you have come to expect - and deserve - from the Playhouse. Maintaining a history of your transactions allows us to best serve your ticketing needs. From time to time we will send you information about upcoming events we believe will be of interest to you. Our phone representatives may also call you to confirm subscription purchases or to provide you with the opportunity to become more closely involved with the Playhouse through our Membership programme and fundraising events. We do everything in our power to co-ordinate points of contact so that our patrons do not receive more than a reasonable number of letters or phone calls.

From time to time we may exchange lists of names and addresses with other not-for-profit arts organisations that we believe may have events of interest to our patrons. This exchange happens only through a third party data and mailing house, so that neither organisation has access to the personal information. The contracted third party must comply with strict data privacy standards, including rules and guidelines of federal privacy legislation, and is required to destroy the information supplied after one use.

Where We Keep It
Only authorised personnel have access to this information. We operate a comprehensive ticketing database, with a secured server, where the majority of information is held. As well, different departments maintain electronic and hard files on individuals with whom they deal directly. In our ongoing efforts to ensure the security of your personal information, we are implementing a new database system, which will limit access to the minimum needed to complete daily business.

Financial transactions (such as lottery orders or tax receipts) are kept in secure storage for the minimum amount of time required through accounting principles and then are destroyed.

What is our Accountability?
We do our best to ensure that all information is recorded accurately - if you notice any errors in our correspondence with you or if your personal information changes, please contact one of our Audience Services Representatives at 604 873 3311 to update your file.
